Week 17: Event management overview and tips
Huge Promotions are currently organizing several events, for our clients and also regional events.
We are organising two events for our new client, Entropy Restaurant. The first is a press event aiming at inviting and appealing to the media, and the second is a corporate event providing networking for local businesses as well as show casing the restaurants versatile space available for hire and the wonderful food

It’s all about the timing!
The first rule within event management is making sure that you have enough time for all details to be designed and cross examined. No matter how large or small the project seems, problems or difficulties always arise throughout the preparation, so giving yourself enough time within your plans is essential.
Be prepared!
As any keen scout will know, being prepared is vital. Event organising is no different, being prepared for any eventuality is crucial to the smooth running of the event. Having the right people or information at hand when you need it, is a skill that is important in event organising so that if someone or something lets you down – you always have a plan B.
Objective and concepts
Designing a successful event from the beginning means understanding what the objective is. Getting a clear understanding from the client or in-house and making sure that the end result meets the requirement, is very important. Concepts can be simple or complex depending on what is needed. Try to investigate two options at the beginning of the planning stage so that the client can choose what is best for the objective of the event.
Little black book
Keeping your own personal book of contacts that could be valuable to you for an event is really important. If you meet someone in passing who work within the industry or someone who is recommended then always ask them for a business card as you never know when you might need it.
Timeline
When the concept of the event is signed off, a timeline must be designed so that you, as the manager can see exactly what need is, who is responsible and when it will be completed. After you are happy with this, then issue a copy out to all parties. Two weeks before the actual event, design a timeline for the actual proceedings of the event. Taking into account all areas of activity and issue this is out on the evening.
Practice makes perfect!
On the day, schedule into your time a walk through of the actual event so that you can see if there are any problems, so that they happen then and not during the event.
Evaluation is key
Try to evaluate the whole process – good and bad! Look at which areas was a success and which needs to improve for the next time. If an event is being implemented for a client, an evaluation should be a time when you can review how the evnt went for both parties.
Half enjoyment, half stress
For an event to be implemented successfully, the events manager should be able to enjoy the actual event because every eventuality should have been covered but also a feeling of ‘controlled’ stress as the event has your personal name on it and you should always want to do well for you client/business.
